How to Manage a Document in SphereLOS

Step-by-step guide to viewing documents, using the toolbar, and performing Document Operations. 

Accessing & Viewing Documents

  1. In the loan file, go to Documents in the left menu.

  2. Click the folder to expand and view the documents inside.

  3. Click the preview thumbnail or document name to open in a new tab.

    • PDF/Word/JPG usually open directly, depending on browser settings.

    • Excel files must be downloaded to view.


Using the Document Toolbar

On the right side of each document, you’ll see three buttons:

  • Download — Save a copy of the file.

  • Edit (pencil) Opens the Manage Document view: left panel with General Information and Document Operations tabs; full PDF viewer on the right.

  • Lock — Prevent further changes to the document.


Update General Information

  1. Click Edit > General Information (left panel).

  2. Update Document Name, Folder Type, Effective Date, Conditions, Labels, Notes if needed 

  3. Click Save at the top left to apply your changes,

  4. Click Finalize Document to lock, or Delete Document to remove.

  5. Click Close (top right) to exit and return to the Documents list.

Advanced Editing: Document Operations

  1. Click Edit > Document Operations.

  2. Choose an Action Type (e.g., Move Pages, Copy, Delete, Reorder, Rotate).

  3. Enter the Page Range (required) — examples: 1, 2-4, 1,3,5-12 (use commas to separate pages; hyphens for ranges).

  4. Complete New Document DataDocument Name, Type (Folder Type), Effective Date; optionally Conditions, Labels, Notes.

  5. Click the Action Type button (e.g., Move Pages) to apply changes.

  6. Click Close (top right) to exit and return to the Documents list.


Quick Troubleshoot — PDF Not Displaying

  • File type: Only PDFs preview in-browser. Excel files won’t display—download to view.

  • Browser settings/permissions: Enable in-browser PDF viewing; allow pop-ups, redirects, and third-party cookies for the LOS site.
