How to Import Loans into Sphere LOS by Creating a Lead Provider and Using a Formatted Spreadsheet

A step-by-step guide to creating a lead provider, formatting a spreadsheet, and using it to import loan data into Sphere LOS.

Log in to your Sphere LOS account with the System Administrator user role.

 Step 1: Create a Lead Provider

  • Navigate to Settings.
  • Use the search bar to find the Lead Providers section and click on the Lead Providers to enter the setting.
  • Enter a Name and Description for internal reference.
  • Toggle the Spreadsheet Leads Import on.
  • Then Click Spreadsheet Import Settings next to General Information to configure the fields.

Step 2: Set Up Basic Fields and Format Your Spreadsheet

  • In the Basic Fields section, click Add New Field.
  • From the 64 available basic fields, choose the ones you need.
  • Some fields include additional information, such as loan types, which you can hover over the "i" icon to view a list of acceptable options.

   Important Notes:

  • The first column must be Campaign Code.
  • The column names must exactly match the Basic Fields names.
  • If you're unsure which fields to include, you can add all 64 first. Then, review the list and remove any that aren't needed.

Step 3: Add Custom Fields (If Needed)

If your spreadsheet contains data that isn’t covered by the Basic Fields, you can create Custom Fields first. Here’s how:

  • Go to the Custom Fields section in Settings and create the fields you need.
  • Once created, add the corresponding columns to your spreadsheet here.
  • Refer to the Knowledge Base (KB) article - How to Create Custom Fields in SphereLOS for guidance.

Step 4: Add Custom Programs not currently in the system (if Needed)

If you have an investor-specific program, such as DSCR or business-purpose loans, and it’s not listed under Settings > Programs:

Step 5: Save and Finalize Settings

  1. Click Save to complete the Lead Provider - Spreadsheet Import fields Setting.
  2. Click the three-dot, three-line icon to set a campaign name and code.
  3. and click Create New Campaign.
  4. Provide a name and a unique code for the lead provider.     Important: Make sure that the code you use in your spreadsheet matches the code you enter here for a successful upload.

  5. Click Member to add a team member to the campaign, allowing them to upload files in this format or view files in the campaign.
  6. To add a team member, click Add to Campaign next to their name.
  7. Then confirm by clicking Add User to Campaign.
  8. Click Save. Your system is now ready to accept imports of Excel spreadsheets. We suggest uploading a few test records to ensure everything functions as expected.

 

⚠️ Before You Import

When importing files this way, if the Loan Officer field is not used—whether left blank or assigned to someone who isn’t a registered SphereLOS user with a loan officer role—all imported files will appear on every loan officer’s pipeline — unless the loan officer is excluded from the Lead Provider/Campaign you've set up.

Before proceeding, please take a moment to review each user’s campaign access settings by going to Settings > Users, clicking the three-dot menu next to their name, and updating their Campaigns accordingly.

 

Step 6: Prepare and Upload files via the Spreadsheet

You can download the Sample Spreadsheet here, which includes all the basic fields.

Adjust the columns as needed by adding or removing fields based on your needs.

Some fields include additional information, such as loan types, which you can find in the additional information subsheet.

Step 7: Import the Spreadsheet

  1. To import the files via Spreadsheet: Go to Pipeline, and then Click Import.
  2. Select Lead for Loan Type
  3. Import Type: Select Spreadsheet
  4. Select the Preset Lead Provider
  5. Then Drag and drop the spreadsheet or select it from your computer. Please note, that SphereLOS currently only supports importing .XLS (Excel) files.
  6. Click Import New Lead.

You’ll receive a success message upon upload or an error email if the data format is incorrect.

Once the system completes the import, click Search to view the uploaded files.

Important Note: If you see a green success message after importing, please do not import again. The system is processing your request, and import times may vary based on the number of fields/files.
