How to Enter Key Service Providers (KSP) in a Loan File

Steps for adding or updating Key Service Providers in a loan file. Provider companies are managed separately in Contacts.

Option 1 — Select from Contacts (recommended)

  1. Open the loan file and go to either Overview > Key Service Providers or Disclosures > Key Service Providers>click Edit

⚠️ If the Key Service Providers section Edit button isn’t available, or you can’t find the Key Service Providers area, it may be due to user role permission settings. Please reach out to your company’s system admin for assistance.

       2. Search by typing the company or point of contact name.

       3. Choose the correct match from the dropdown.

       4. Click Save.

⚠️ Option 2 — Add Manually (for record-keeping only)

Use this option only when you want to keep a record of the provider in the loan file but do not use them to place orders (e.g., Title, Hazard, or Appraisal).

  1. Click the + icon.
  2. Enter the Company Name and Point of Contact, along with any additional information as needed.
  3. Click Save.

Important:

  • Manually added entries cannot be edited after saving. To update, you’ll need to click + again and re-enter the information.
  • If you plan to place Title orders with this provider through the system, add them as a Company Contact instead of using manual entry.

Additional Notes

  1. When you order Title, Hazard, or Appraisal from the Actions menu, the provider you select there will automatically stamp into the loan as the KSP. This becomes the official record.
  2. Use Option 1 (from Contacts) whenever possible for consistency and to keep providers order-ready.
  3. Use Option 2 only for one-off providers or when you need a record but won’t be placing orders through the system.

✅ Best Practice

Always add frequently used providers as Company Contacts. This ensures they appear in dropdowns for easy selection and can be used directly when placing orders through the system.
